5C Agency respects the privacy of everyone who visits our website or uses our services. This privacy policy explains what data we collect, why, and how we handle it.

1. Who are we?

2. What data do we collect?

Through the contact form on the website we collect the following data when you fill it in:

• Name
• Email address
• Company name
• Website or LinkedIn URL (optional)
• Type of business and number of employees
• A description of where you lose time / your pain points
• Time of submission

Through analytics we use Plausible Analytics, a privacy-friendly tool that uses no cookies. Plausible collects no personally identifiable information and works with anonymous, aggregated statistics such as page views and traffic sources. No cookies are placed.

Through the AIOS Assistant (chatbot) we process the following when you have a conversation:

• The messages you send to the chatbot
• The responses the chatbot returns
• An anonymized session ID and language preference (in your browser's localStorage)
• If you fill in the lead form: name, email address, phone number (optional), and any notes

The chatbot uses Claude AI from Anthropic to answer your question. Your messages are sent to the Anthropic API for this. Anthropic processes this data on European servers and does not use it to train their models. We use Anthropic's standard API with no data retention for training. Conversations are kept by us for a maximum of 30 days for product improvement. Read more in Anthropic's privacy policy.

3. What do we use this data for?

• To get in touch with you after a form submission
• To prepare for a discovery call
• To create an AI analysis of your business (based on the website URL you provide)
• To improve the quality of our services

We never use your data for untargeted marketing or spam, and we never sell it to third parties.

4. Where is data stored?

Submitted forms and chatbot leads are stored in a secure Notion database, accessible only to 5C Agency. Chatbot messages are processed during a conversation by Anthropic Claude (AI analysis) and kept by us for a maximum of 30 days for product improvement. The website runs on Netlify (EU region). None of these parties sell or share your data with third parties.

5. How long do we keep your data?

We keep contact details for as long as there is an active business relationship or as long as necessary for administrative purposes. If no collaboration has started, we delete your data no later than 12 months after the last interaction.

6. Your rights (GDPR)

Under the General Data Protection Regulation (GDPR) you have the following rights:

• Right of access: you can request what data we hold about you
• Right to rectification: you can have incorrect data corrected
• Right to erasure: you can ask us to delete your data
• Right to object: you can object to the processing of your data

7. Cookies

5cagency.nl places no tracking cookies. We use Plausible Analytics, which is fully cookie-free and complies with the GDPR without requiring consent.

8. Changes

We may update this privacy policy from time to time. The date at the top of this document indicates when the last change was made. For significant changes, we notify active clients by email.
